KJHK 90.7 FM (“KJHK,” “we,” “us,” or “our”) is a student-run radio station that is part of the University of Kansas (“KU”). This Privacy Policy describes how we collect, use, and protect information when you use the KJHK mobile application (the “App”), which primarily streams the same audio content that we broadcast over the air.
Because KJHK is a KU unit, the App is also subject to the University of Kansas General Privacy Policy and related KU policies. In the event of any conflict, the official KU policies control.
1. Scope
This Privacy Policy applies to information collected through the KJHK App and any related KU-hosted services that the App directly links to (for example, KJHK or KU web pages you open from within the App).
It does not change or replace other KU policies that may apply to you (such as student, employee, or research-related policies).
2. Relationship to KU’s General Privacy Policy
The University of Kansas maintains a General Privacy Policy that governs how KU units handle “Private Information” in any form (paper, digital text, images, audio, video, etc.).
KJHK follows that KU policy. This KJHK-specific notice is intended to:
- Explain, in plain language, how the App works from a privacy standpoint; and
- Show how the KU-wide privacy requirements apply to this particular service.
For full details about KU’s broader privacy commitments and definitions, please refer to KU’s official General Privacy Policy in the University’s online policy library.
3. Key Definitions
Private Information
Under KU policy, “Private Information” includes any information that is protected by state or federal law, contractual obligations, or KU standards designating the information as confidential, sensitive, or otherwise restricted. Access to such data is tightly controlled.
Examples of Private Information include (but are not limited to):
- Non-directory student records (FERPA-protected)
- Financial aid and scholarship records
- Personnel and employment records that identify individuals
- Social Security numbers, KU ID numbers, and other identity-verification data
- Passwords, PINs, and digital signatures
- Individually identifiable health/medical information (including HIPAA-protected data)
- Individually identifiable information collected in research projects
- Credit card numbers and financial transaction data covered by PCI standards
- Information covered by non-disclosure agreements
- Any information relating to an identified or identifiable person, including “personal data” as defined under the GDPR
The KJHK App is not designed to collect these kinds of detailed personal records directly; however, KU’s rules about Private Information still apply whenever such data is handled in connection with KU systems.
4. What the KJHK App Does
The primary function of the KJHK App is to:
- Stream live audio that mirrors what is currently playing on KJHK 90.7 FM’s broadcast signal.
The App is not designed to:
- Create user accounts within the App
- Host graded coursework or student record systems
- Directly collect sensitive personal, financial, or health information
If the App links you to KJHK or KU websites where you submit forms or log into KU systems, those sites may collect additional information subject to KU’s applicable policies.
5. Information We Collect
5.1 Information You Provide
In general, the App does not require you to submit personal information to listen to the stream.
However, you may choose to provide information if the App:
- Opens a KJHK or KU web page where you submit a form (e.g., contact forms, feedback,
donation pages, or contest entries); or - Provides an email link or other contact method that you voluntarily use.
In those cases, any information you provide (such as your name, email address, or message content) will be used to respond to your request or to carry out the relevant University activity, consistent with KU policy.
5.2 Information Collected Automatically
Like most networked applications and online services, the App and its supporting infrastructure may automatically receive certain technical information from your device, such as:
- IP address and general location based on IP
- Device type, operating system, and app version
- Basic usage logs (e.g., when you start or stop the stream)
- Diagnostic, performance, and crash data
This information is used for purposes such as:
- Operating and improving the App and streaming service
- Monitoring performance and reliability
- Troubleshooting technical issues
- Ensuring security and integrity of KU information resources
6. Cookies and Similar Technologies
The KU General Privacy Policy explains that University websites use cookies and similar technologies to improve functionality, performance, and the user experience.
The KJHK App itself may not set traditional web “cookies,” but comparable technologies can be used in apps and associated web services, such as:
- Local storage on your device
- Device identifiers
- Analytics tools or logging mechanisms
These tools may help us:
- Maintain streaming sessions
- Understand aggregate usage patterns (for example, times of day when streaming is most active)
- Improve app performance and reliability
You can often manage tracking and analytics settings at the device or browser level (for example, limiting ad tracking or analytics sharing in your mobile OS settings). Note that disabling certain features may affect App performance.
7. How We Use Information
Consistent with KU policy, information collected through the App or related KU services may be used only to carry out authorized University business.
For KJHK, this includes:
- Streaming audio content and operating the App
- Maintaining the security, integrity, and availability of KU systems
- Troubleshooting service issues and performing quality assurance
- Conducting high-level, non-identifying analysis to understand audience engagement
- Complying with applicable laws, regulations, and University policies
We make reasonable efforts to limit any collection of Private Information to what is strictly relevant to clearly defined institutional purposes.
8. Disclosure of Information
8.1 Routine Disclosures
Consistent with KU policy, information (including Private Information, when applicable) may be disclosed only as needed to accomplish legitimate University functions, such as:
- Sharing information with KU departments that support IT operations, security, or compliance
- Providing necessary information to contracted service providers (e.g., streaming or analytics vendors) under agreements that require appropriate protection of the data
- Supporting internal reporting, auditing, or policy enforcement
8.2 Legally Required Disclosures
The University of Kansas may be required to disclose information, including Private Information, when required by law—for example, in response to a subpoena, search warrant, court order, or other legal process, or as otherwise mandated by state or federal law. Any such disclosures will be made in accordance with KU policies and applicable legal requirements.
9. Data Security
Every KU unit, including KJHK, is responsible for protecting the confidentiality, integrity, and availability of information it handles.
This includes:
- Granting access only to individuals who need it to perform their University duties
- Following KU’s information security and data classification policies
- Reporting suspected privacy or security breaches as required by KU procedures
If a breach involving Private Information is suspected, KU’s Information Technology and Office of the General Counsel are notified and respond according to University policy.
10. Retention of Information
Information collected through the App or related KU systems is retained only for as long as necessary to:
- Support the purposes described in this Policy;
- Comply with applicable laws and regulations; and
- Follow KU’s records retention policies and schedules.
Retention periods may vary depending on the type of information and applicable legal/policy requirements.
11. International Users and GDPR
For individuals located in the European Union or other jurisdictions with specific data-protection laws, KU provides additional guidance through its Data Protection Privacy Notice aligned with the General Data Protection Regulation (GDPR).
If you believe your use of the KJHK App involves rights under the GDPR or similar laws, you should consult KU’s GDPR-related privacy notices in the KU Policy Library and may contact the University using the information in the Contact section below.
12. KU Employees Using University Resources
If you are a KU employee using University resources (including systems that support the KJHK App), your use is also governed by KU’s policies on acceptable use of electronic information resources and information security.
KU may monitor or access system logs and related information as necessary to:
- Maintain quality of service;
- Investigate suspected security incidents or misuse; or
- Comply with legal obligations.
13. Consequences of Misuse
KU employees and others with access to Private Information are required to follow relevant laws and University policies. Violations of these requirements may result in disciplinary action, up to and including dismissal for employees, as well as other sanctions or legal consequences where applicable.
14. Your Choices
Because the KJHK App is primarily a passive streaming service, there are relatively few “account-level” settings. However, you can control aspects of your data in the following ways:
- Device-level settings: Adjust app permissions, analytics/diagnostics sharing, and network settings in your device’s operating system.
- Browser and web settings: If you follow links from the App into KU or KJHK websites, you can manage cookies and related technologies through your browser.
- Contact preferences: If you contact KJHK and later wish to limit how we follow up (e.g., no longer receiving certain types of messages), you can indicate that in your communications to us.
15. Changes to this Policy
KJHK and the University of Kansas may update this Privacy Policy from time to time to reflect changes in technology, legal requirements, or University practices.
When we make changes, we will revise the “Last updated” date at the top of this document. In some cases, we may also provide additional notice (for example, in-app messaging or on the KJHK website).
